The Executive Administrative Assistant aprovides administrative and logistical support to the Chief Development Officer (CDO) and other fundraising executives as directed. This position has contact with a diverse group of external supporters and internal stakeholders at all levels of the organization and at our healthcare locations. The Executive Administrative Assistant will assist in the implementation and coordination of all aspects of administrative, calendaring, travel and organizational needs associated with the CDO’s duties. Independent judgment is required to plan, prioritize and organize workload and recommend changes in practices or procedures as necessary. This position involves contact with internal and external stakeholders, including but not limited to donors, headquarters and location staff, headquarters and location board members, shrine temples, clubs and units and their representatives, vendors and community members.
General Administrative Responsibilities
- Manages CDO’s complex calendar and scheduling of meetings, conferences, teleconferences and travel. Planning and scheduling CDO travel through internal travel system.
- Conserves CDO's time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Completes and tracks all CDO travel and other reimbursements.
- Organizes and maintains paper and electronic files. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Supply orders and request purchase orders through Lawson.
- Processes mail (internal and external) including overnight shipments.

Clerical assistance as needed (typing agenda’s, minutes, presentations, etc.).
- Preparing documents and packets for Board and Committee Meetings. Taking minutes for Board Committee Meetings and typing board records for CDO review.
- Coordinate and assist headquarters Donor Relations staff with the creation of fundraising reports for internal and external distribution after CDO review and approval.

Produce informational packets for CDO review by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
- Uses Blackbaud CRM to enter donor data and interactions as needed for CDO.

Provides CRM support for CDO and as it relates to fundraising activities (events, mailings).
- Managing projects as assigned and assists with other duties as directed by the CDO.
- Independently exercises ethical and sound judgement to maintain donor and stakeholder confidence and protects operations by keeping information confidential.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional development
Required
- 10 years of Administrative Assistant experience
- MS Office proficiency

Associate's Degree in related field
- Bachelor's Degree in related field
