Position Summary:
As the Executive Assistant, you will play a pivotal role in ensuring the efficient and effective operation of the Finance organization. You will be responsible for managing their schedules, coordinating meetings, handling confidential information, and assisting with various administrative tasks.
The ideal candidate will possess exceptional organizational skills, a high level of discretion, and a proactive approach to problem-solving. You will collaborate with other members of the executive team. This position reports to the Chief Financial Officer.
Responsibilities And Duties:
- Take initiative to anticipate and resolve scheduling conflicts and prioritize appointments, proactively streamline travel arrangements by seeking cost-effective options and optimize itineraries for schedule convenience. Assess and streamline expense processes, obtain missing receipts as needed, ensure policy compliance, process timely expense reports, track budget spending, and make recommendations for efficiency and cost savings.
- Utilize critical thinking skills to organize and manage sensitive and confidential information, identifying insights and trends when handling reports, financial documents, purchase orders and invoices. Contribute to strategic projects by proactively researching, analyzing data, and providing insights and recommendations to the Finance Leader and other organization Leaders.
- Strategically plan and organize internal and external meetings, anticipating potential issues and providing innovative solutions. Partner with other Executive Assistant & Event Coordinator to schedule and support Redaptive’s Board of Director meetings (catering, onsite support and coordinating executive dinners). Provide back- up support to Executive Assistance & Event Coordinator when off site for events.
- Apply critical thinking to screen and filter phone calls, emails, and requests, addressing routine matters independently and escalating urgent issues promptly. Proactively identify challenges and roadblocks that may hinder the organization’s progress, offering creative solutions to leadership to overcome them.

- Ability to proactively engage with internal and external stakeholders to facilitate clear and timely communication, making decisions on behalf of the Finance team when necessary.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and calendar management software.
- High level of discretion and ability to handle confidential information with utmost sensitivity.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.

Professional and polished demeanor with excellent interpersonal skills.
- 10+ years proven experience as an executive assistant or similar role, highlighting proactive and critical thinking abilities.
- Bachelor's degree or related work experience.

Experience with expense reconciliation systems is required.

Travel:
10% of domestic travel time is expected for this position with overnight stays.
