Manipulate an alpha numeric keyboard to effectively use a PC and appropriate software. Create, type, edit, proofread and format documents, memos and letters as well as generate reports and maintain records as needed. Create, organize and maintain files and logs, both electronic and paper based. Demonstrate a knowledge, understanding and correct application of office procedures. Answer calls or direct to the appropriate staff member and take messages as needed. Prepare certified and overnight mail, photocopy and scan documents, send and receive faxes, type and perform other routine clerical functions as required. receive, open and distribute documents via email or hard copy. Assist with maintaining the office archive files.

Eligible for reassignment, transfer, reachable for appointment from the appropriate eligible list or must meet the following minimum qualifications:
Minimum qualifications for taking the open-competitive Beginning Office Assistant examination: There are no minimum education or experience requirements.
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to complete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified. Candidates must be able to read, write and speak English and must be able to follow both written and spoken instructions.
